Position Summary

The Coordinator will support the Disaster Response Team’s (DRT) ongoing projects, primarily the disaster response training program, information management, and the continuity of ongoing projects during responses. This role supports deployments, volunteers, and staff throughout all phases of disaster response. Office hours are typically considered to be Monday-Friday 8:00 am - 5:00 pm with a 40 hour work week unless otherwise dictated by manager or disaster response circumstances.

Responsibilities

Duties will include but not be limited to

  • Monitor developments in areas of crises globally, including sudden-onset disasters, and produce briefings to inform HHI staff of developing/ongoing disasters on a 24/7 routine and emergency basis as part of the DRT On Call schedule.

  • Coordinate the appropriate resourcing of staff and volunteers, including the development, delivery, feedback, and improvement training.

  • Maintain the Learning Management System (LMS) platform (for DRT Trainings only), enroll staff and volunteers, track training progress, and work with Volunteer Engagement to manage all aspects of DRT engagement.

  • Serve as the DRT’s focal point for information management by implementing appropriate file structures, leading strong data management systems, and controlling document versions for all DRT projects.

  • Produce and share timely updates on response activities and impact verbally or in written format to internal and external audiences as required.

  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.

  • Support development of guidelines, policies and procedures according to donor and internationally recognized standards (e.g. Sphere standards, WHO Emergency Medical Team standards, etc.).

  • Work with DRT and volunteers to ensure readiness to deploy, with a particular focus on team mobilization.

  • Support operational readiness of equipment and supplies, including tracking inventory, coordinating procurement, and working with operations teams to ensure rapid mobilization.

  • Serve as HQ Lead during HHI deployments:

    • Develop pre-deployment materials and coordinate pre-deployment briefings.

    • Coordinate team logistics, including travel arrangements and lodging for deploying staff and volunteers.

    • Facilitate and host HQ coordination meetings and disseminate information internally.

    • Maintain timely communication with deployed team.

    • Support the health, safety, and security of the deployed team – HQ focal point for all incident reporting.

  • Support special projects or initiatives, as assigned and provide support to HHI programs, organization-wide, when required.

  • Represent HHI with professionalism in any capacity at conferences, meetings, workshops, and in all dealings with partners, contractors, vendors, volunteers, beneficiaries, etc., as required.

  • Prioritize “do no harm” principles. Ensure those who encounter HHI because of our activities are safeguarded from deliberate or inadvertent actions and failings which place them at risk or abuse, sexual exploitation, injury, and any other harm.

During Deployment:

  • Serve as HQ-based lead during responses. This role requires flexibility to work extended hours, including evenings and weekends, and operate in austere, high-stress, or resource-limited environments.

  • May deploy to disaster-affected locations, sometimes with less than 24 hours’ notice, to support needs assessments, medical team deployment, data collection, and analysis that inform program design and decision-making.

  • Support a high-performing cross-functional Disaster Response Team, including medical professionals and technical experts.

  • Ensure that medical/program stocks and supplies for programmatic support infrastructure are properly planned, procured, stored and distributed to avoid stockouts.

  • Actively represent and foster strong working relationships with partners and stakeholders, including UN agencies, NGOs, relevant national government departments/ministries, local/regional authorities, community leaders and beneficiaries.

  • Responsible for the health, safety, and security coordination of the deployed team - promote safety and security of self, HHI staff and volunteers, and assets/operational support infrastructure, including communicating and monitoring adherence to safety and security policies and procedures, implementing check-ins and elevating any safety and security issues to HHI HQ in a timely manner.

Qualifications

  • Experienced use of Microsoft Office Suite, particularly Microsoft Teams, Word, and Excel.

  • Strong critical thinking and problem-solving skills.

  • Highly organized, able to multi-task, and manage time, with impeccable attention to detail.

  • Expert document formatting and technical editing skills.

  • Ability to work independently and at times under tight deadlines and stressful situations.

  • Experience in coaching, training, and/or administering Learning Management Systems (LMS), a distinct advantage.

  • Professional proficiency in English required; proficiency in French, Spanish or Arabic is an advantage.

Requirements

  • 1-3 years relevant field experience OR recent graduate with a degree in an applicable field and/or demonstrated experience in:

    • Project coordination

    • Operations and logistics

    • Emergency management

    • Humanitarian action

  • Understanding of international humanitarian aid and US emergency management standards and coordination systems required.

  • Willingness to be flexible and eager to learn – positive vibes!

  • Maintain a valid US passport and valid driver's license.

  • Ability to deploy within 24 hours’ notice for a duration of two weeks to four weeks, depending on the nature of the response.

  • Unable to provide sponsorship at this time. Only considering persons eligible to work in the United States.
